Please read these terms carefully before using our services

General Terms

These Terms and Conditions govern your use of the services provided by Propsnap, a professional property inventory and inspection company based in Canary Wharf, London. By booking or using any of our services, you confirm that you have read, understood, and agree to be bound by these terms.

Propsnap reserves the right to update or amend these terms at any time. Continued use of our services following any changes constitutes acceptance of the revised terms. The most current version of these terms will always be available on our website.

Our Services

Propsnap provides professional property services to landlords, letting agents, and homeowners across London. Our services include, but are not limited to:

  • Inventory Reports — detailed check-in and check-out documentation with photographic evidence
  • EICR (Electrical Installation Condition Reports) — carried out by NICEIC-approved qualified electricians
  • Gas Safety Certificates — inspections conducted by Gas Safe registered engineers
  • Energy Performance Certificates (EPC) — official energy ratings for residential and commercial properties
  • Floor Plans — accurate 2D floor plan drawings for lettings and valuations
  • Property Photography — professional HDR photography for listings and marketing

All services are provided by qualified, accredited professionals. Service availability, scope, and pricing are subject to change. We reserve the right to decline any booking at our discretion.

Bookings & Cancellations

All bookings are confirmed upon receipt of a booking confirmation from Propsnap via email. It is your responsibility to ensure that the booking details — including address, date, time, and service type — are correct at the time of confirmation.

  • Cancellations with more than 48 hours' notice — no charge applies
  • Cancellations within 48 hours of the appointment — a cancellation fee of 50% of the service cost may apply
  • Same-day cancellations or no-shows — the full service fee will be charged
  • Rescheduling — must be requested with at least 24 hours' notice at no additional charge

Propsnap reserves the right to cancel or reschedule any appointment due to unforeseen circumstances, including but not limited to engineer unavailability or extreme weather. Where Propsnap cancels an appointment, a full refund or alternative date will be offered.

Access & Property Requirements

It is the responsibility of the client to ensure that our inspector, clerk, or engineer has safe and unobstructed access to the property at the agreed appointment time. This includes ensuring that all areas, rooms, meters, and electrical consumer units are accessible.

  • A responsible adult (18+) must be present at the property throughout the visit, unless otherwise agreed in writing
  • For EICR inspections, the power supply must be made available and the consumer unit must be accessible
  • For gas safety inspections, all gas appliances must be present and connected
  • Failure to provide access may result in an abortive visit fee equivalent to the full service cost

Propsnap accepts no responsibility for delays or incomplete reports arising from restricted access, hazardous conditions, or missing documentation at the property.

Report Delivery & Accuracy

Reports and certificates are delivered digitally via email within the timeframe specified at the point of booking. Our standard delivery is within 24 hours of the completed inspection, unless otherwise stated.

  • All inventory reports are produced to AIIC standards and are legally admissible as evidence in deposit dispute proceedings
  • EICR reports are issued in accordance with BS 7671:2018+A2:2022 (18th Edition Wiring Regulations)
  • Gas Safety Certificates are issued by Gas Safe registered engineers and are valid for 12 months
  • EPCs are lodged on the official government register and are valid for 10 years

Propsnap takes all reasonable steps to ensure reports are accurate and thorough. Any queries or disputes regarding report content must be raised in writing within 14 days of delivery. We will review and respond within 5 working days.

Payment Terms

Payment is due in full at the time of booking unless a credit account has been agreed in writing with Propsnap. We accept payment by card, bank transfer, and other methods as advised at the time of booking.

  • All prices are inclusive of VAT where applicable
  • Quotes are valid for 30 days from the date of issue
  • Invoices for account holders are payable within 14 days of the invoice date
  • Late payments may incur interest at 8% per annum above the Bank of England base rate under the Late Payment of Commercial Debts Act 1998

Certificates and reports will not be released until full payment has been received and cleared. Propsnap reserves the right to withhold documentation in the event of an outstanding balance.

Limitation of Liability

Propsnap's liability in connection with any service is limited to the value of the fees paid for that specific service. We are not liable for:

  • Consequential, indirect, or economic losses arising from the use of our reports or services
  • Losses arising from inaccurate information provided by the client at the time of booking
  • Defects or issues that were not reasonably discoverable at the time of inspection
  • Third-party actions or decisions made on the basis of our reports

Nothing in these terms excludes or limits our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded under English law.

Intellectual Property

All reports, photographs, floor plans, and documentation produced by Propsnap remain the intellectual property of Propsnap until full payment has been received. Upon receipt of payment, the client is granted a non-exclusive licence to use the documents for the purpose for which they were commissioned.

  • Reports and photographs must not be altered, resold, or redistributed without prior written consent from Propsnap
  • Property photographs may be used for marketing the property for which they were taken
  • Propsnap reserves the right to use anonymised images or data for portfolio, training, and marketing purposes

Data Protection & Privacy

Propsnap processes personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. By using our services, you agree to the collection and use of information as described in our Privacy Policy.

We will never sell or share your personal data with third parties for independent marketing purposes. Data is held securely and only for as long as necessary to fulfil our contractual and legal obligations.

Third-Party Services & Sub-Contractors

Certain services — including EICR inspections, gas safety checks, and EPCs — are carried out by qualified third-party contractors engaged by Propsnap. All contractors are vetted, accredited, and bound by the same standards of conduct and confidentiality as our in-house team.

Propsnap acts as the principal service provider and remains responsible for the overall quality and delivery of all commissioned services, regardless of whether the work is carried out by an employee or approved sub-contractor.

Complaints

We take complaints seriously and aim to resolve all issues promptly and fairly. If you are dissatisfied with any aspect of our service, please contact us in the first instance:

We will acknowledge your complaint within 2 working days and provide a full response within 10 working days. Where a complaint cannot be resolved internally, we will advise on any relevant external dispute resolution options.

Changes to Terms

Propsnap reserves the right to modify these Terms and Conditions at any time. Changes will be published on our website and, where appropriate, communicated to active clients by email. Continued use of our services following any update constitutes acceptance of the revised terms.

Governing Law

These Terms and Conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes arising from or in connection with these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
